Privacy Policy

We collect the information needed to get you where you are going and to run the business behind that. Nothing more, and we do not sell it. This page sets out exactly what we hold, why we hold it, who sees it, and how to get it removed.

Section 01

Who we are and what this covers

1.1 NW Car Services provides chauffeured ground transportation in Washington State. In this policy, "we", "us" and "NW Car Services" mean the operating company, and "you" means anyone who books with us, travels with us, or uses this website.

1.2 This policy covers information collected through this website, by telephone on 206-747-0485, by email, through our booking and dispatch systems, and during the provision of transportation services.

1.3 It does not cover websites or services operated by others, including any third-party site we link to.

Section 02

Information we collect

2.1 We collect the following categories of information.

2.2 Flight and vessel information. Where you give us a flight number or ship name, we use publicly available tracking data for that flight or sailing so that pickup can be adjusted automatically. We do not access your airline or cruise booking.

2.3 Information about other people. If you book on behalf of someone else — a guest, an employee, a family member — you are responsible for having their permission to give us their name and contact details.

Sensitive information. We only collect health or accessibility information where you volunteer it so we can carry you safely, such as a mobility aid or a required accommodation. We use it for that purpose and no other.

Section 03

How we use information

3.1 We use personal information to:

  • Provide the service — quote, confirm, dispatch, and complete your journey
  • Communicate about a booking — confirmations, chauffeur and vehicle details, door numbers at the airport, delays and changes
  • Track flights and sailings so that pickups adjust automatically
  • Take payment and issue receipts and invoices
  • Maintain preferences so repeat clients do not re-explain the same things each time
  • Handle questions and complaints, and investigate incidents
  • Meet legal, insurance, licensing and tax obligations
  • Improve the service and the website, using aggregated and de-identified information wherever possible

3.2 We send marketing email only where you have asked for it or where permitted by law, and every marketing message includes an unsubscribe link. Unsubscribing from marketing does not stop booking-related messages, which are necessary to deliver a service you have requested.

Section 04

Text messages and calls

4.1 Providing a mobile number at booking allows us to send service messages about your reservation — chauffeur and vehicle details, the door number to walk out of at the airport, arrival notifications, and delay or change updates. These are operational messages, not marketing.

4.2 Message frequency depends on your booking. Message and data rates may apply. You can stop service messages by replying STOP, and get help by replying HELP or calling 206-747-0485.

4.3 Stopping text messages may affect our ability to notify you of a vehicle location or a change, so we may contact you by telephone instead.

4.4 Telephone calls to dispatch are not recorded. Dispatch may make written notes of a call so that your booking is handled correctly.

4.5 We do not sell or share mobile numbers with third parties for their own marketing.

5.1 We share personal information only where it is needed to deliver the service or where the law requires it.

5.2 Service providers acting on our behalf are permitted to use the information only to perform services for us, and are required to protect it.

5.3 If the business is sold or merged, personal information may transfer as part of that transaction. You would be notified of any material change to how information is handled.

What we do not do

6.1 We do not sell personal information.

6.2 We do not share personal information with third parties for their own advertising or marketing.

6.3 We do not use passenger travel patterns for any purpose beyond operating the service and meeting our legal obligations.

6.4 Chauffeurs are trained to treat passenger identities, destinations and in-vehicle conversation as confidential. This applies to every passenger, and matters particularly for corporate, legal, medical and other sensitive travel.

Section 07

Cookies and website analytics

7.1 This website uses cookies and similar technologies to keep the site working, remember preferences, and understand how the site is used.

  • Necessary cookies — required for the site and the booking form to function
  • Analytics cookies — aggregated statistics about pages viewed and how visitors arrive
  • Advertising cookies — measuring the performance of advertising campaigns

7.2 Most browsers let you refuse or delete cookies. Blocking necessary cookies may prevent parts of the site, including the price request form, from working.

7.3 We honour Global Privacy Control and similar browser opt-out signals where they are received.

Section 08

Corporate accounts

8.1 Where a ride is billed to a corporate account, the account holder receives trip details on the monthly invoice — including passenger name, date, route, vehicle class and fare.

8.2 If you are travelling on a company account, your employer or the account holder will see that information. This is a necessary consequence of the billing arrangement, and travellers should be aware of it.

8.3 We do not provide corporate account holders with information beyond what is required for billing, expense reconciliation and programme administration.

Section 09

How long we keep information

9.1 We keep personal information only as long as needed for the purpose it was collected, and to meet legal, tax, insurance and accounting obligations.

  • Booking and trip records — retained for seven years, in line with tax and insurance requirements
  • Payment records — as required by our payment processor and applicable financial regulations
  • Marketing contacts — until you unsubscribe or ask to be removed
  • Website analytics — in line with the retention settings of the tools in use

9.2 Information no longer needed is deleted or de-identified.

Section 10

Security

10.1 We use reasonable administrative, technical and physical safeguards to protect personal information, including restricting access to staff who need it to do their jobs.

10.2 Card details are handled by our payment processor. We do not store full card numbers on our own systems.

10.3 No system is completely secure. While we take protection seriously, we cannot guarantee absolute security of information transmitted over the internet.

10.4 If a breach affecting your personal information occurs, we will notify you and the relevant authorities as required by Washington State law.

Your rights and choices

11.1 Wherever you live, you may ask us to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate or out of date
  • Delete information, subject to records we must retain by law
  • Stop marketing email or text messages
  • Ask a question about anything in this policy

11.2 To make a request, email info@nwcarservices.com or call 206-747-0485. We may need to verify your identity before acting, and we will respond within the period required by applicable law.

11.3 We will not treat you differently for exercising any of these rights.

Section 12

Washington State residents

12.1 We are based in Washington State and operate under Washington law.

12.2 Washington's My Health My Data Act regulates consumer health data. We do not collect health data for any purpose beyond safely accommodating a passenger where they have volunteered it, we do not sell it, and we do not use it for advertising.

12.3 Washington is an all-party consent state for recording private communications. Consistent with that, calls to dispatch are not recorded.

Section 13

California residents

13.1 If you are a California resident, the California Consumer Privacy Act as amended may give you additional rights, including the right to know what personal information is collected, to request deletion or correction, and to opt out of sale or sharing.

13.2 We do not sell personal information and we do not share it for cross-context behavioural advertising as those terms are defined under California law.

13.3 To exercise California rights, contact us using the details in section 15. An authorised agent may make a request on your behalf with proof of authorisation.

Section 14

Children's privacy

14.1 This website is intended for adults. We do not knowingly collect personal information directly from children.

14.2 Where children travel with us, any information we hold about them — such as a first name, age and weight for fitting a car seat — is provided by the booking adult, used solely to carry the child safely, and not used for any other purpose.

14.3 Bookings involving unaccompanied minors, including school formals, must be made by a parent, guardian or the school.

14.4 If you believe a child has provided us with personal information directly, contact us and we will delete it.

15.1 We may update this policy from time to time. The effective date at the top of this page shows when it was last revised, and material changes will be highlighted on this page.
