Terms and Conditions

These terms govern chauffeured transportation services provided by NW Car Services. They are written to be read, not to be survived — where something costs money or changes what you can expect, it is stated plainly and in the same words we use on the phone.

Section 01

Agreement and definitions

1.1 These terms and conditions form the agreement between NW Car Services and any person or organisation booking transportation with us. Making a reservation means you accept these terms on behalf of yourself and everyone travelling in your party.

1.2 In these terms, "we", "us" and "NW Car Services" mean the operating company; "you" means the person or organisation making the reservation; "passenger" means anyone travelling under that reservation; and "chauffeur" means the licensed professional driver we assign.

1.3 A "quoted fare" is the price we confirm to you in writing before the reservation is accepted. A "reservation" becomes binding on both parties when we issue written confirmation, not when a request is submitted.

1.4 Where these terms conflict with anything said verbally, the written confirmation and these terms take precedence.

Section 02

Services and service area

2.1 We provide pre-arranged chauffeured ground transportation. We are an operator, not a broker: the vehicles are ours and the chauffeurs are engaged by us.

2.2 Our standard service area is the greater Puget Sound region, including King, Pierce, Snohomish, Kitsap, Thurston and Skagit counties. Travel outside that region is available and quoted individually by route.

2.3 Service is offered subject to vehicle and chauffeur availability. We will tell you at the time of booking if a requested vehicle class or date cannot be covered.

2.4 Vehicle class is confirmed at booking. We reserve the right to substitute a vehicle of equal or greater capacity where operational circumstances require it, and will notify you where practicable.

Section 03

Reservations and confirmation

3.1 Reservations may be made by telephone on 206-747-0485, by email to info@nwcarservices.com, or through the request form on this website. A submitted request is not a confirmed reservation.

3.2 Every reservation is confirmed in writing and states the vehicle class, pickup date, time and location, destination, pickup protocol, and the quoted fare. If you have not received written confirmation, you do not have a booking.

3.3 You are responsible for the accuracy of the information you give us, including addresses, flight numbers, ship names, boarding windows, passenger counts and luggage counts. We are not liable for delays or additional charges arising from information that was incorrect or incomplete.

3.4 For group and multi-vehicle movements, a single named point of contact must be provided. That person is authorised to give direction on the day.

Section 04

Quoted fares and pricing

4.1 All fares are quoted before booking. We do not use meters and we do not apply surge or demand-based pricing.

4.2 Fares are quoted on a starting-from basis and adjust according to distance, vehicle class, and time of day. The figure confirmed in writing is the amount payable, provided the booked details do not change.

4.3 Point-to-point services are quoted by route. Hourly as-directed services are quoted by time reserved and are subject to hourly minimums which vary by vehicle class, day of week and season. Applicable minimums are disclosed at the time of quoting.

4.4 Peak-period rates may apply on public holidays, New Year's Eve, and major event dates. Where they apply they are disclosed at the time of quoting, before you accept.

4.5 Quotes are valid for seven days from issue unless stated otherwise, and are subject to availability at the time of acceptance.

Section 05

Add-ons and additional charges

5.1 The following optional add-ons are available and are charged in addition to the quoted fare. All are disclosed at the time of quoting.

5.2 Tolls, standard parking and fuel along the quoted route are included in the fare. Ferry fares are included where a ferry forms part of the quoted routing.

5.3 Nothing is charged that was not agreed in advance. Where a change arises during a journey, such as an additional stop, it is quoted at the time and added only with your agreement.

Section 06

Payment and invoicing

6.1 We accept major credit and debit cards. A valid card is required to secure a reservation.

6.2 Unless otherwise agreed, the fare is processed on completion of the journey, so that any agreed additions appear on a single itemised receipt.

6.3 Corporate account holders are invoiced on a consolidated monthly basis, itemised by ride, with cost-centre allocation where codes are captured at booking. Invoices are payable within 30 days of issue.

6.4 We may require a deposit for group movements, multi-vehicle bookings, wedding bookings and extended engagements. Where a deposit applies it is stated in the written confirmation.

6.5 An itemised receipt is issued for every completed journey.

Section 07

Wait time

7.1 Airport arrivals. We track inbound flights in real time and adjust pickup automatically. Wait time is measured from actual landing, not from scheduled arrival. A grace period is included, and the period for international arrivals is longer to allow for customs and immigration.

7.2 There is no charge for flight delays, however long the delay.

7.3 All other pickups. A standard grace period is included from the scheduled pickup time. Time beyond that is billed in increments at the rate disclosed at booking.

7.4 On hourly as-directed reservations, waiting between stops falls inside the reserved block and is not billed separately.

Section 08

Changes, cancellations and no-shows

8.1 Changes may be requested by telephone on 206-747-0485 or by replying to your written confirmation. Time, pickup location, vehicle class and passenger count can be adjusted subject to availability, and a revised confirmation is issued.

8.2 Cancellation terms vary by service type and vehicle class, and are stated in your written confirmation. As a guide:

8.3 Cancellations made within the notice period may be charged in full or in part, as stated in your confirmation.

8.4 No-show. Where a passenger cannot be located at the confirmed pickup location after the included grace period, and no contact has been made with dispatch, the reservation may be treated as a no-show and charged in full. Please call 206-747-0485 rather than leaving — dispatch can reach your chauffeur directly.

Section 09

/bookingpassengers and car seats

9.1 /bookingcar seats are available as a $20 add-on per seat. Infant, convertible and booster seats are offered.

9.2 The child's age and weight must be provided at the time of booking so that the correct seat type is assigned and fitted before pickup. Seats cannot reliably be added at the curb.

9.3 Washington State law governs /bookingpassenger restraint. Where a required seat has not been booked and cannot be supplied, we may be unable to carry the child, and the reservation may be treated in accordance with section 8.

9.4 You may use your own car seat at no charge. Where you do, you are responsible for its condition and correct installation.

Section 10

Animals and service animals

10.1 Service animals travel at no charge and no advance notice is required, in accordance with applicable law. We will not ask for documentation or refuse carriage of a service animal.

10.2 Other animals and pets are welcome with advance notice, as a $20 add-on per booking. Telling us at the time of booking allows a suitable vehicle to be assigned and prepared.

10.3 Pets should be appropriately restrained or carried. Where an animal has not been disclosed at booking, we may be unable to carry it.

10.4 Additional cleaning charges may apply where an animal leaves the vehicle requiring more than routine cleaning. Any such charge is evidenced and notified to you before it is applied.

Section 11

Passenger conduct and vehicle use

11.1 Open containers of alcohol are not permitted in the vehicle under Washington State law. This applies to every vehicle, every service and every occasion, including weddings, celebrations and wine tours. Sealed purchases may be carried without restriction.

11.2 Smoking and vaping are not permitted in any vehicle.

11.3 Illegal substances are not permitted in any vehicle under any circumstances.

11.4 Passenger numbers must not exceed the booked and licensed capacity of the vehicle. Chauffeurs cannot carry additional passengers beyond that capacity, whatever the circumstances.

11.5 Passengers must wear seat belts where fitted and follow reasonable instructions from the chauffeur relating to safety.

11.6 Chauffeurs may decline to begin or continue a journey where they reasonably believe that continuing would be unsafe, unlawful, or would place the chauffeur or passengers at risk. Where a journey is ended for these reasons, the fare may remain payable.

11.7 You are responsible for damage caused to the vehicle by you or your party beyond ordinary use. Any charge is evidenced and notified before it is applied.

Section 12

Luggage and personal property

12.1 Stated luggage capacities assume standard checked bags of approximately 27 inches. Oversized items reduce capacity — a ski or snowboard bag occupies roughly the space of two checked bags.

12.2 Luggage counts and any oversized items should be declared at booking so that a suitable vehicle is assigned. Where declared luggage exceeds vehicle capacity on arrival, we may be unable to carry all of it.

12.3 Luggage assistance to and from the vehicle is included at no charge.

12.4 Personal property is carried at your own risk. Please check the vehicle before leaving. Items found are held and returned where possible; contact dispatch on 206-747-0485 as soon as you notice something missing.

Section 13

Accessibility

13.1 Our standard fleet is not wheelchair-lift equipped. The Mercedes-Benz Metris and Sprinter offer low step-in height and wide door openings that accommodate many mobility needs.

13.2 Folding wheelchairs and walkers are stowed at no charge.

13.3 Please raise accessibility requirements at the time of booking so that the movement can be structured around them. Call 206-747-0485 to discuss specific needs.

Section 14

Delays and conditions beyond our control

14.1 We plan routes and timings conservatively and monitor conditions while a journey is under way. We cannot, however, guarantee arrival at a specific time.

14.2 We are not liable for delay or non-performance caused by circumstances outside our reasonable control, including traffic, collisions, road or bridge closures, mountain pass closures or traction requirements, ferry cancellations or schedule changes, severe weather, border processing times, civil disruption, government action, or acts of nature.

14.3 Where a mountain pass, ferry route or border crossing materially affects a booked journey, we will advise on timing, an alternative route, or rescheduling.

14.4 For travel connecting to a flight, sailing or other fixed deadline, you are responsible for allowing adequate margin. We will advise on realistic timing and recommend departure times accordingly.

Section 15

Insurance and liability

15.1 NW Car Services holds commercial automobile liability insurance of $1,000,000 or greater and maintains the licensing required for commercial passenger transportation in Washington State. Certificates of insurance are available to corporate clients on request.

15.2 Nothing in these terms limits liability for death or personal injury caused by negligence, or for any other liability that cannot lawfully be limited.

15.3 Subject to clause 15.2, our liability arising from a reservation is limited to the amount of the fare paid for that reservation.

15.4 Subject to clause 15.2, we are not liable for indirect or consequential losses, including missed flights, missed sailings, missed connections, lost deposits, or lost business, however caused.

Please read clauses 15.3 and 15.4 carefully. They limit the compensation available if something goes wrong. If your journey connects to a flight or sailing, allow generous margin and tell us the deadline you are working to so we can plan around it.

Section 16

Privacy, complaints, changes and governing law

Privacy

16.1 We collect only the information needed to provide and administer transportation services, including name, contact details, pickup and destination addresses, and travel details. We do not sell personal information. Full detail is set out in our privacy policy.

Complaints

16.2 If something goes wrong, contact dispatch on 206-747-0485 or email info@nwcarservices.com. We would rather hear about a problem during the journey, when it can still be fixed, than afterwards.

Changes to these terms

16.3 We may update these terms from time to time. The terms in force are those published on the date your reservation is confirmed, and later changes do not alter a confirmed booking.

Governing law

16.4 These terms are governed by the laws of the State of Washington, and the courts of Washington State have jurisdiction over any dispute arising from them.

Severability

16.5 If any provision of these terms is found unenforceable, the remaining provisions continue in full effect.
